๐ 1. Where to Find Rules
- 1️⃣ Open Outlook 2016.
- 2️⃣ Go to the Home tab.

- 1️⃣ Right-click an email in your Inbox.

- 2️⃣ Start from: Apply rule on messages I receive.
- 3️⃣ Conditions: - from people or public group → select vendor email - with specific words in the subject → add “Invoice”
- 4️⃣ Action: move it to the specified folder → choose “Invoices”.
- 5️⃣ Click Finish.

Example: forward all error alerts to IT:
- 1️⃣ Create new rule → Apply rule on messages I receive.
- 2️⃣ Condition → with specific words in the subject → add “Error” or “Alert”.
- 3️⃣ Action → forward it to people or public group → choose IT group.
- 4️⃣ Optional: also move to folder → “Alerts”.

Example: mark mails from manager as high priority:

Example: keep all client mails in a project folder:
- 1️⃣ New rule → Apply rule on messages I send.
- 2️⃣ Condition → sent to people or public group → client group/email.
- 3️⃣ Action → move a copy to the specified folder → “Client ABC”.
๐ 9. Rule Order & “Stop Processing”
- In Manage Rules & Alerts → use Move Up / Move Down to reorder rules.
- Outlook runs rules from top to bottom.
- Use stop processing more rules if one rule should be final for that mail.

- 1️⃣ Home → Rules → Manage Rules & Alerts.
- 2️⃣ Click Run Rules Now….
- 3️⃣ Tick the rules you want to run.
