  • 1️⃣ Open Outlook 2016.

Example: move only invoice emails from a vendor:
  • 1️⃣ Home → Rules → Manage Rules & Alerts → New Rule….
  • 2️⃣ Start from: Apply rule on messages I receive.
  • 3️⃣ Conditions: - from people or public group → select vendor email - with specific words in the subject → add “Invoice”
  • 4️⃣ Action: move it to the specified folder → choose “Invoices”.
  • 5️⃣ Click Finish.
✅ Outlook will move only real invoice mails, not all vendor mails.

Example: forward all error alerts to IT:
  • 1️⃣ Create new rule → Apply rule on messages I receive.
  • 2️⃣ Condition → with specific words in the subject → add “Error” or “Alert”.
  • 3️⃣ Action → forward it to people or public group → choose IT group.
  • 4️⃣ Optional: also move to folder → “Alerts”.

Example: mark mails from manager as high priority:
  • 1️⃣ Condition → from people or public group → manager’s email.
  • 2️⃣ Actions: - assign it to the category category → “Important” (or any color). - flag message for follow up.
✅ The mail becomes colored & flagged, so you never miss it.

Example: move emails with attachments into “Documents” folder:
  • 1️⃣ New rule → Apply rule on messages I receive.
  • 2️⃣ Condition → tick which has an attachment.
  • 3️⃣ Action → move it to the specified folder → “Documents”.
➡ Useful for quotations, resumes, project documents, and scanned bills.

Example: delete or move offers/newsletters:

Example: keep all client mails in a project folder:
  • 1️⃣ New rule → Apply rule on messages I send.
  • 2️⃣ Condition → sent to people or public group → client group/email.
  • 3️⃣ Action → move a copy to the specified folder → “Client ABC”.
➡ Good for audits, history & tracking communication with specific clients.

  • In Manage Rules & Alerts → use Move Up / Move Down to reorder rules.
  • Outlook runs rules from top to bottom.
  • Use stop processing more rules if one rule should be final for that mail.
Example: First rule moves mails from boss to Boss folder and stops further processing — so no other rules change it.

  • 1️⃣ Home → Rules → Manage Rules & Alerts.
  • 2️⃣ Click Run Rules Now….
